1. Who we are

Vatra Village is operated by Vatra Pro Concept SRL, registered office at Sat Rogojel, nr. 31, com. Săcuieu, jud. Cluj, România, tax ID (CUI) 46110478, trade register no. J2022002638122. Contact: +40 742 466 611, contact@vatravillage.com.

2. How booking works

• On the website you choose a cabin and dates and send your booking. If the dates are free, the booking is confirmed instantly, on screen and by email.
• If availability cannot be checked instantly (for example, the Booking.com / Airbnb calendar does not respond), the booking stays pending and we confirm it in writing (email, SMS or WhatsApp) as soon as possible. After confirmation we contact you with the payment details and, where applicable, the deposit.
• Through the website you can book up to 7 nights. For longer stays, private events at Vatra or retreats, please contact us directly.
• The website calendar updates automatically, including bookings made on Booking.com and Airbnb.
• Bookings made through Booking.com, Airbnb or other platforms follow that platform's conditions (price, payment, cancellation). The house rules below apply to all guests.

3. Prices and payment

The price of the stay, the deposit (if required), and the payment method and deadline are communicated to you in writing when we confirm the booking and form part of our agreement. Prices are stated in lei or euro, as communicated at confirmation.

Any local taxes (for example a resort tax, where applicable) and extra services are communicated to you before confirmation.

4. Cancellation and changes

Cancellation terms (until when you can cancel free of charge and what happens to the deposit) are communicated to you in writing when we confirm the booking. For any cancellation or change, let us know as soon as possible by phone, WhatsApp or email.

If we have to cancel a confirmed booking for reasons beyond your control, we refund all amounts paid in full or offer you other dates, as you prefer.

The 14-day right of withdrawal does not apply to accommodation services booked for a specific date or period (Art. 16(l) of Romanian Government Emergency Ordinance no. 34/2014).

5. Arrival and departure

• Check-in: from 16:00. Check-out: by 11:00.
• Early arrival or late departure is possible only if agreed in advance and if the cabin is free.
• On arrival, as required by law, we register the guests' identification details based on a valid ID document.

6. House rules

• Vatra Village is adults only: all guests must be at least 18 years old.
• The number of guests may not exceed the capacity of the booked cabin or the number confirmed at booking.
• Smoking is not allowed inside the cabins.
• Fires may only be lit in the designated places.
• Pets are welcome only with our prior agreement.
• Please keep noise down, especially in the evening and at night, out of respect for other guests and for nature.
• Parties and events in the cabins are allowed only with our agreement. For events, there is the shared Vatra cabin.

7. Liability

Guests are responsible for damage they cause to the cabin, its equipment or shared areas and for respecting the house rules. We reserve the right to end a stay, without refund, in case of serious breaches of the rules.

We are responsible for the services we provide, as required by law. We are not liable for valuables left unattended, nor for activities you undertake on your own outside the property (hikes, mountain trails, etc.).

8. Use of the website

The texts, photographs, renderings and visual identity of Vatra Village belong to the operator or are used with the authors' consent and may not be reused without permission. Some images are renderings or illustrative photos and may differ slightly from reality.

Information about the surroundings, distances and activities is indicative. We do our best to keep it up to date, but changes may occur.

9. Personal data

The data you give us is processed according to our Privacy policy. Details about cookies are in our Cookie policy.

10. Complaints and disputes

If something is not right, please tell us first: at +40 742 466 611 or contact@vatravillage.com. We try to solve any problem on the spot or as quickly as possible.

You can also use the alternative dispute resolution (ADR/SAL) procedure of the Romanian National Authority for Consumer Protection: reclamatiisal.anpc.ro.

These terms are governed by Romanian law. Disputes that cannot be settled amicably are resolved by the competent courts in Romania, without limiting the rights you have as a consumer.

11. Changes

We may update these terms. For a booking, the version in force when the booking was confirmed applies.
